Sparkbot respects your privacy. This Privacy Policy explains how we collect, use, store, and protect information when you use our Discord bot. Last Updated: June 2026
1. Information We Collect
Sparkbot collects only the data necessary to operate its features, including but not limited to:
- Discord User IDs: Used to identify users for leveling, moderation, verification, and other bot-related functions.
- Configuration Data: Such as role rewards, prefixes, and settings specific to your server (e.g., XP multipliers, moderation thresholds).
- Server (Guild) IDs: Used to store and apply server-specific settings (e.g., prefixes, configurations, XP settings, ticket channels).
- Message Activity Metadata: Used to track XP and levels (we do not store message content itself, only activity counts and timestamps).
- Moderation Records: Such as warnings, kicks, bans, mutes, and action timestamps (if your server uses moderation features).
- Member Information: Birthday dates (if provided by users), verification status, roles, and member-specific settings.
- Server Statistics: Aggregated data about member counts, activity trends, and server growth metrics.
2. How We Use Collected Data
- Provide and maintain bot functionality (e.g., XP/leveling systems, moderation tools, server configurations).
- Improve and enhance the bot's performance, stability, and features based on usage patterns.
- Ensure fair use of features and prevent abuse (e.g., handling cooldowns, spam prevention).
- Provide customer support and troubleshoot technical issues.
- Generate analytics and insights to improve user experience.
- Comply with Discord's Terms of Service and applicable laws.
3. How Data Is Stored & Secured
Your data is stored securely with the following protections in place:
- Encryption at Rest: All stored data is encrypted using industry-standard encryption protocols to protect against unauthorized access.
- Secure Database: Data is stored in a restricted, secure database with limited access and regular security reviews.
- Access Control: Access to data is restricted strictly to the Sparkbot development team and only for purposes of maintaining, improving, and supporting the bot.
- No Third-Party Sharing: We do not sell, trade, or share your data with third parties. Data may only be shared if required by law, court order, or to protect against security threats.
- Data Protection Measures: We implement reasonable security measures to protect your information from unauthorized access, alteration, destruction, and disclosure.
- Limitations: While we implement industry-standard security practices, no method of storage is 100% secure. Use of Sparkbot is at your own risk.
4. Data Retention Policy
Understanding how long we keep your data:
- While Bot is Active: User and server data are retained permanently while Sparkbot is active in your server. This includes XP, levels, moderation records, configurations, and member information.
- Why Permanent Storage? Long-term data retention is necessary to:
- Maintain member progression and leveling history
- Preserve moderation records for server safety and audit purposes
- Persist server configurations and customizations
- Provide historical data for server statistics and analytics
- After Bot Removal: When Sparkbot is removed from a server, associated server data may be retained for up to 30 days before automatic deletion, except where users have requested permanent deletion.
- Inactive Accounts: Data associated with Discord accounts deleted by Discord may be retained for archival purposes but will no longer be actively used.
- Backup & Archive: Data may be retained in backups for a limited time to ensure business continuity and disaster recovery.
5. Your Data Rights
You have the following rights regarding your personal data:
- Right to Access: You can request to know what personal data we hold about you and how it's being used.
- Right to Deletion: You can request permanent deletion of your personal data at any time.
- Right to Transparency: You have the right to know what data we collect, how it's used, who has access, and how long it's retained.
- Right to Data Portability: You can request a copy of your data in a portable format.
- Right to Opt-Out: You can disable specific Sparkbot features within your server settings or request to be excluded from certain data collection.

6. Data Deletion Requests
How to Request Data Deletion or Access:
- Via Discord Support Server: Join our support server and submit a request in the #support or #contact-us channel with your Discord User ID.
- Via Email: Send a request to otgolden.dev@gmail.com including your Discord User ID and server ID (if applicable).
What Happens During Deletion:
- Upon receiving a valid deletion request, we will review and process your request within 5-10 business days.
- We will permanently delete all personal data associated with your Discord User ID, including:
- XP, levels, and leveling history
- Moderation records (warnings, kicks, bans, mutes)
- Birthday dates and member preferences
- Verification status and related data
- Any server-specific data linked to you
- Data deletion will be completed within 30 days of your verified request.
- You will receive confirmation once your data has been deleted.
- Some aggregate, anonymized, or statistical data (e.g., server statistics) may be retained, but it will not be linked to your identity.
- Backup copies may take up to 90 days to be purged from our systems.
7. Data Sharing & Third Parties
We do not sell, trade, or share user data with third parties. Data may only be shared in the following situations:
- Legal Compliance: When required by law, court order, or government regulation.
- Security & Safety: To protect against security threats, fraud, abuse, or misuse of Sparkbot.
- Discord Services: We may share limited data with Discord as required by Discord's Terms of Service (e.g., to report abuse).
- Service Providers: We may use trusted third-party service providers for hosting and data processing, all bound by confidentiality agreements.
8. Data Breach Notification
In the event of a data breach or security incident that compromises your personal information, we will:
- Notify affected users promptly via email and/or our Discord support server.
- Provide details about the nature of the breach, affected data, and steps taken to remedy the situation.
- Offer guidance on steps users can take to protect their accounts.
- Comply with all applicable data breach notification laws.
9. Children's Privacy
Sparkbot is intended for users 13 years and older, in compliance with Discord's Terms of Service and COPPA regulations. If you are under 13, you may not use Sparkbot. If we become aware that a user under 13 has provided personal information, we will take steps to delete such information and terminate the user's access.
10. International Users & GDPR
If you are located in the European Union or other regions with privacy regulations (such as GDPR), this Privacy Policy applies to you. You have additional rights under GDPR, including the right to lodge a complaint with your local data protection authority.
11. Changes to Privacy Policy
We may update this Privacy Policy at any time. Changes will be effective immediately upon posting to this page. We recommend reviewing this policy periodically for updates. Major changes will be announced in our support server.
